For most Canadians, the best virtual office is one of three: Regus if you want the most locations and on-demand meeting rooms, Davinci Virtual if you want a low monthly price with a live receptionist add-on, or WeWork Business Address if you want a downtown address at a known brand. If all you need is a street address for your mail, a digital mailbox from iPostal1 or Anytime Mailbox costs far less.

What a virtual office actually gives you
A virtual office is a service, not a room. You pay a monthly fee to use a real commercial address for your business, and staff at that address receive your mail and packages.
Most providers sell the pieces separately or in bundles:
- Business address: a street address you can put on your website, invoices and business cards, so you don’t have to share your home address.
- Mail handling: staff sign for and hold your mail. Forwarding and scanning usually cost extra.
- Phone answering: a receptionist answers calls in your business name and passes on messages.
- Meeting rooms and day offices: space you can book by the hour or day when you need to meet a client in person.
It suits freelancers, consultants, home-based businesses and small companies that want a professional front without paying rent on an office.
Regus: best for choice of locations
Regus has one of the biggest networks in Canada. Its Toronto page lists 45 locations, and it also has centres in Montréal, Vancouver, Calgary, Edmonton and many suburbs.
Regus sells three main plans:
- Business address: an address you can use on business documents, plus mail receipt. This is the cheapest option.
- Virtual office: the address plus mail handling and call answering.
- Virtual office plus: everything above, plus 5 days a month of private office access.
Cost in Toronto (as of September 2026): business address and virtual office plans from $2 a day, call answering from $5 a day, and meeting rooms from $29 an hour. Coworking access starts at $11 per person per day. Regus shows its prices per day. At $2 a day, an address works out to about $60 over a month.
You can go month to month, but Regus discounts contracts of six months or more. Mail forwarding costs extra, and scanning mail to your email is also available.
The catch: the “from” price is for the cheapest centre. Prime downtown addresses and add-ons can raise the bill quickly, and you only see your real price in the online configurator. Read the renewal and cancellation terms before you sign.
Davinci Virtual: best for a lower monthly price
Davinci Virtual rents addresses inside other business centres. It lists locations in Alberta, British Columbia, Manitoba, Nova Scotia, Ontario, Quebec and Saskatchewan, with dozens in the Toronto and Ottawa areas alone.
- Price: Toronto addresses listed at US$60, US$65 and US$75 a month, and an Ottawa address at US$75. Davinci’s Canada page says prices start at $50.
- Setup fee: US$50 as a promotion, down from US$199, as of September 2026.
- Minimum term: 6 months.
- Included: the business address, mail receipt with weekly mail notices, a lobby greeter for walk-in clients, and access to Davinci’s network of meeting spaces at extra cost.
- Add-ons (Ottawa example): weekly mail forwarding for flat mail, $20 a month plus postage. Daily mail scanning, $20 a month. A lobby directory listing, $140 to set up plus $10 a month.
Davinci also sells live receptionist plans. Its most popular plan, Business 50, costs $129 a month for 50 live answer minutes, and plans run up to $319 a month.
The catch: prices are in U.S. dollars, so your card will likely add a foreign exchange fee on top. Postage for forwarding is extra, and the 6-month minimum means you can’t try it for just one month.
WeWork Business Address: best for a downtown brand name
WeWork Business Address gives you one dedicated address at a WeWork building, with mail and package handling. It’s offered at more than 140 buildings in the U.S. and Canada, including several in downtown Toronto.
- Price: at 1 University Avenue in Toronto, C$169 a month, or C$144 a month on a 24-month plan, plus taxes and fees.
- Minimum term: 6 months.
- Mail forwarding: an optional add-on with its own monthly fee, plus courier shipping and a service fee.
- Meeting rooms: Toronto buildings list meeting rooms from C$15 per seat per hour.
WeWork says you can use the address for business registration.
The catch: it costs more than Regus or Davinci for an address alone, and phone answering isn’t part of the plan. It makes most sense if you’ll also book WeWork meeting rooms or day passes.
iPostal1 at Staples Canada: best for mail on a budget
If you don’t need a receptionist or meeting rooms, a digital mailbox is often enough. iPostal1 partnered with Staples Canada in 2025, so you can use a Staples store as your street address. Staples has close to 300 stores across Canada.
- Price: from CA$19.99 a month for business use, or CA$14.99 for personal use. Prices vary by location tier.
- How it works: the store receives your mail, and you see a photo of each envelope in the app. You can then ask for it to be opened and scanned, forwarded, shredded or held for pickup.
- Extra fees in Canada: CA$0.49 for each item over your plan’s limit. Scanning costs CA$2.99 for up to 10 pages, then CA$0.39 a page. Letters are stored free for a set time, then cost CA$3.99 per item per month.
- Terms: no contract. Plans renew unless you cancel before the billing date.
The catch: the address is a retail store, not an office building. iPostal1’s phone and fax plans use U.S. numbers, so they won’t give you a Canadian business line.
Anytime Mailbox: cheapest address near you
Anytime Mailbox lists 61 Canadian locations: 26 in Ontario, 19 in Quebec, 10 in Alberta, 5 in British Columbia and 1 in Winnipeg. Each one is an independent mail centre or business centre.
Ontario plans start between C$5 and C$19.99 a month, depending on the location. A few locations list prices in U.S. dollars. Like iPostal1, you see your mail in an app and choose what happens to it.
The catch: the “starting from” price is for the most basic plan at that location. Check how many mail items it includes and what scanning and forwarding cost. Service quality depends on the local operator, so read the details for the exact location.

How to choose a virtual office
- Decide what you need. If you only want to keep your home address private, a digital mailbox for $10 to $20 a month may be all you need. Pay for a full virtual office only if you’ll use the phone answering or meeting rooms.
- Check the real monthly total. Add forwarding, scanning, postage, setup fees and tax to the base price. A $60 plan can become $100 or more.
- Watch the currency. Davinci charges in U.S. dollars, and some Anytime Mailbox locations do too. Exchange rates and card fees add to the cost.
- Read the minimum term. Davinci and WeWork need at least 6 months. Regus and iPostal1 let you go month to month, but auto-renew.
- Ask before you register a company. If you want to use the address as your corporation’s registered office, confirm in writing that the provider allows it.
- Pick a location you can reach. If a package needs a signature or a client drops something off, you may need to pick it up in person.
Using a virtual office as your registered office
For a federal corporation, Corporations Canada says the registered office must be a full street address in the province named in your articles. It can’t be a post office box.
The registered office is also where you must keep your corporate records and where legal documents are served. The address is public in the federal corporations database. Before you list a virtual office address, make sure the provider will accept legal documents for you and tell you right away when they arrive. Provincial corporations have their own rules, so check with your province’s business registry.
